Prepare a data room that investors can follow
Organize for the questions investors ask
Start with a company overview, ownership and cap-table records, financial statements and forecasts, commercial evidence and key legal documents. Use clear filenames with dates and versions. A short index explaining the contents helps reviewers distinguish current records from superseded drafts.
Share deliberately
Choose which documents each audience needs. Check the access settings, expiry date and email verification requirement before sharing a link. A verified email establishes control of an inbox; it is not proof of the recipient’s legal identity. Revoking a link prevents future access but cannot recall copies someone already downloaded.
Read source documents with AI
The Polaris document reader supports text PDFs, Word documents, text formats, PNG and JPEG images. Scanned pages use OCR. The assistant retrieves selected excerpts, cites filenames and displays reading notices. It has file, page and time limits, so a response should not be interpreted as a review of every page in a large room.
Check answers against originals
Verify monetary amounts, dates, names and legal clauses against the original document. OCR can misread numbers and tables. If a file is missing or unreadable, the assistant should say so. Keep private financial and legal documents out of the public web-research form.
